2023 QWA State Championships Host Bid Submissions

QWA Affiliated Clubs are invited to submit bids to host any of the 2023 QWA State Championship events, to be received by COB Thursday 8 December 2022.

Background Information

Additional to the Field Of Play (FOP) area the following spaces must be provided at the competition venue:

  • Doping Control room (containing table, chairs)*
  • Changing rooms with shower
  • Sauna (located at or within close proximity to venue)*
  • Technical Official / VIP room*
  • Weigh-in room and Check Weigh-in room*
  • Spectators seating*
  • Refreshment Area
Field of Play (FOP) relates to the area of competition which contains the competition platform, Technical Officials’ and Competition Management tables and Warm-up area.
  • Chalk and resin must be provided near the competition platform*
  • Safety roll bar in front of platform*.
  • Cleaning disinfectant / antiseptic, wire brushes, cloths, broom, gloves and other cleaning supplies must be provided and neatly stored next to the competition platform for the Loaders*.
  • A zone for Team Officials must be designated relative to the FOP layout*.
  • The placement of all Technical Officials’ and Competition Management tables & chairs must be situated in accordance with rules and FOP layout. The view from each post must be clear and unobstructed*
  • A table and chair must be provided for the Competition Doctor/First Aid personnel near the athletes’ point of entry to the competition platform and in the warm-up area relative to the venue layout*
  • Loaders must have a designated area with chairs on the opposite side of the athletes’ point of entry to the competition platform*.
  • A scoreboard must be set up in a prominent place in the FOP displaying the progress and results of the competition *.
  • Host State Member Sponsor/s and AWF Sponsor/s*, signage display.
 
To prepare for competition, athletes must be provided with a safe warm-up area located near the competition platform. The warm-up area must be equipped with:
  • An appropriate amount of numbered non-slip warm-up platforms (minimum 8) measuring a minimum of 2.4m*
  • Bars, collars, weights, chalk, resin, etc. in relation to the number of competing athletes*.
  • Loudspeakers connected with the Speaker’s audio system*.
  • Real time scoreboard (displayed on TV monitor)*.
  • Attempt board (displayed on TV monitor)*.
  • Display of official timing clock*.
  • Live video feed of activity on the competition platform
  • Accessible table displaying athlete cards *.
  • Water*
  • Ice for injuries (kept in Fridge or Esky)*
  • Other operational tables, as required
  • Proximity to bathroom facilities

The QWA Office will generate:

  • Event Regulations & Entry Form*
  • Preliminary Entry Lists*
  • Technical officials EOI*
  • Technical Official Roster*
  • Verification system (individual & Team entries)*
  • Verified Final Start List*
  • Start Numbers*
  • Athlete Passes*
  • Warm-Up Room Passes*
  • Athlete Attempt Cards*
  • Competition Sheets*

The Club Host will generate:

  • Event Information Booklet including details re local accommodation & transport, ticket sales, training times, sauna location, equipment, doping control, etc…*

The Club Host will be required to liaise with the QWA office in using*:

  • Michael Noonan’s CMS.
  • Or other mutually agreed competition management program

The Club Member Host will be responsible for procuring and setting up*:

  • Computers, data projector (minimum 3000 Lumens), TV monitors (min 55”)
  • Electronic Referee System (QWA supply system)
  • Jury Monitoring System
  • System for direct communication between the Competition Management and Chief Marshal.
  • Sound System (including music tracks to entertain audience)

The QWA will provide:

  • Webcasting *
  • Photography
It would be useful to develop an organisational chart and include an explanation of the various roles and responsibilities.  Please refer to this example.
  • Raffle prizes from local sponsors/lucky door prizes – fundraising opportunity for hosting Club
  • Seating Arrangements
  • Access to refreshments

The QWA office will cover the costs associated with delivery of webcast, printing of forms and posters, purchase of medals, and trophies. The QWA will also fund the hosting Club $400 per competition day to cover expenses, miscellaneous and provision of catering for VIP’s/TO’s.
